External Scholarships from Outside Agencies

Invest in Âé¶¹Ô­´´ Students

When businesses, foundations, and community donors invest in Âé¶¹Ô­´´ students, they invest in the future of the Permian Basin. To ensure that your scholarship award reaches the right student at the right time, please follow the submission guidelines below. 

Submission Guidelines

Donors and agencies should include the following information when sending funds to Âé¶¹Ô­´´ to ensure scholarship checks are processed promptly and accurately:

  1. Donor or agency contact information (organization name, mailing address and phone number/email address)

  2. Donor intent letter providing:
    • Recipients full name
    • Âé¶¹Ô­´´ Student ID number and date of birth
    • Guidelines regarding which semester(s) the award should be applied to (fall, spring, summer)
    • How the funds can be utilized (tuition/fees, books, room & board, supplies, equipment)
    • Indication if excess funds can be released to the student or to be returned to donor
  3. Scholarship checks should be made payable to Âé¶¹Ô­´´
    • Students full name and Âé¶¹Ô­´´ student ID number on the memo line is advised

Awards are applied within 5-7 business days of being received by the Âé¶¹Ô­´´ Scholarships Office.

*All scholarships adhere to all federal and state laws and regulations, along with institutional policies and guidelines. Due to FERPA laws, the Âé¶¹Ô­´´ Scholarships Office cannot communicate with the external donor regarding student account information (enrollment, financial aid, etc.). The responsibility will be on the student to work with their donor regarding any questions concerning their scholarship.

 

Student Award Information

External scholarships will be applied towards the students billing account first (including but not limited to athletic scholarships, federal and state aid, etc.). External scholarships are applied based on the provided donor’s intent. If the donor does not indicate that funds can be given directly to the student, the Âé¶¹Ô­´´ Scholarship Office will apply the funds towards eligible educational expenses as defined by the donor intent letter. If there are funds remaining on the students billing account that are not authorized to be refunded to the student, funds will be returned to the donor unless otherwise specified by the donor intent letter.

If no specific donor intent letter accompanies the check, the external scholarship will be applied to the student’s educational expenses first. Any remaining funds will be refunded within the same semester they are received, unless the student submits a request to the Âé¶¹Ô­´´ Scholarships Office to have the funds adjusted to accommodate the next semester with supporting documentation from the donor or agency if necessary.

If the student would like scholarship funds carried forward, the student must notify the Âé¶¹Ô­´´ Scholarships Office within 5 business days of receiving the ‘External Scholarship Award Notice’ email sent to the student’s Âé¶¹Ô­´´ student email, letting the student know the scholarship has been applied.
